Tricks for Gmail that You Should Know About

Some of the coolest and most useful tips and tricks in Gmail are the ones few people know about. Here are 3 of my favorite tricks for Gmail that will keep your email nice and organized, and one might save you from making a big mistake!

  1. Send and Archive

This option is my organizational dream come true. When you have the Send and Archive option enabled, once you have replied to an email it will be moved out of your Inbox into your mail Archive (for more info, read our post on “How to Save Important Emails”), which is essentially a digital filing cabinet. You can still find the message in “All Mail”, but it will no longer be cluttering up your Inbox.

To turn on this option, go to your Gmail inbox and click on the gear icon in the upper right-hand corner.

Click on “Settings”.

Go about half way down the page to the “Send and Archive” section.

Change the button to “Show Send & Archive”.

Then scroll all the way down to the bottom of the page and click “Save changes”.

Now look at what happens when I reply to an email:

  1. Inbox Type

Changing your Inbox Type allows you to manage what order your emails appear in. The default setting is in the order in which they were received, i.e. newest first, oldest last. But you also have the option to put “Important” messages at the top, or “Unread” messages at the top instead.

To do this, click the gear icon again and go to your “Settings”. This time, click the “Inbox” tab.

The first section is “Inbox type”. Change “Default” to whatever your preference is. I like to have all of my unread messages at the top of my inbox so I will change it to reflect that.

When you’re done, make sure you go to the bottom of the page and save your changes.

  1. Undo Send

Gmail’s Undo Send may just save your neck someday. This option allows you to un-send an email within a specified timeframe.

To turn this option on, click on the gear icon and go into your “Settings” again. Right underneath the “Send and Archive” option from Trick #1 is the “Undo Send” option.

Check the box next to “Enable Undo Send” and select the time period during which you will be able to cancel the email. I’m not that quick, so I chose 30 seconds.

When you’re satisfied with your settings, don’t forget to save your changes at the bottom of the page.

Gmail is arguably the best email service available today, and they work very hard to keep your account safe and protect your privacy. But scammers and hackers will still try to target you, so you need to use common sense and have good security habits. Here are 3 easy security tips for Gmail.

  1. Create a Strong Password

You should have already created a strong password when we first set up your Gmail account, but if you haven’t, you should change it to something strong but easy for you to remember. A combination of upper-case letters, lower-case letters, numbers and special characters makes it practically impossible for even very sophisticated password cracking software to guess.

To change your password, start in your inbox and click on your email address in the upper right-hand corner of the screen.

This will open a drop down menu. Select “My Account”.

You will be taken to your My Account page.

Click on “Signing in to Google”.

This will lead you to the Sign-in & security page.

To change your password, click on the arrow next to Password.

You will be taken to the initial sign in page to enter your current password (this is so that random people can’t get into your account when you’re not looking and change your password).

Enter your existing password and click Sign in. This will take you to the page where you can change your password.

  1. Sign Out of Your Account on Shared Computers

If you are using a public or shared computer, always sign out of your account before stepping away from the computer. You can learn how to do this in our article “How to Open and Close a Session in Gmail”.

  1. Uncheck the “Stay signed in” box.

Similarly, when you log in to your Gmail account on a different computer, make sure this box is not checked.

Much of the time, using the standard font style and size in your emails is sufficient, but sometimes you might want to add emphasis with text formatting. Luckily, formatting your text in Gmail is very easy to do.

First, make sure you are logged into your Gmail account and you are in your inbox. Click on the red “Compose” button to start writing an email.

You can write the email address of your recipient(s) before or after writing your message, but I like to do it first.

To open the formatting options, click on the “A” button at the bottom of the screen.

These are your formatting options:

From left to right, you have font style, font size, bold, italics, underline, font color, alignment, numbering, bullets, indenting, quotations, and an arrow that will reveal more formatting options.

I’m the kind of person who likes to write my message first and then add formatting at the end, so give me a moment to write my message, please.

I want to put the word “party” in italics, so I will highlight the word “party” and click the “I” button to italicize it. If you want to undo it, just click the same button again.

I want to add bullet points to my list of items, so I will select all of them and click on the bullet points button.

Easy right? You can add smiley faces with the smiley face button too. I may have gone a little overboard…

When you’ve finished, just send your message as you normally would. That’s it!

How to Use Chat or Video Calls in Gmail

Gmail makes it easy to keep in touch with everyone in exactly the way you want, including chat and video calls. You can chat without leaving your inbox, and easily turn your chat into a video call with a single click. In this tutorial, you’ll learn how to chat with your Gmail contacts in Hangouts and start a video call.

How to Chat in Gmail

First, make sure you’re logged into your Gmail account and you’re in your inbox. In order to chat with someone, you will have to find them on Hangouts by clicking on the magnifying glass by your name.

This will open a box where you can search for someone by name or email address.

When you find who you’re looking for, click on them.

This will open a chat window with a pre-made invitation. In order to chat with someone, they have to accept your invitation. Click “Send Invite”.

When your invitation is sent, you will see this notification:

Once you have people in your Hangouts contacts, they will be displayed in a list on the left side of your screen, underneath the list of your email folders.

The green dot means a person is online. Right now, I am online and so is my friend Emily, so I’m going to chat with her by double-clicking on her name in the list. This opens up a chat window between myself and Emily.

Now you can type whatever message you want, and the other person can type a response. Your messages will be in real time, just like any other instant messenger you might have used before. The top of the chat window will flash green when you have a new message.

How to Make a Video Call in Gmail

Now let’s say I want to catch up with my friend Emily face to face. I can do that easily from the same chat window. At the top of the chat window, there is a button that looks like an old-fashioned video camera.

If you click it, it will send a video call invitation to the other person.

(Important: if your camera icon is red and struck through like in this picture, your camera won’t turn on and your friend won’t be able to see you).

Emily didn’t answer the video call, but if she had, her camera would turn on and we would both be able to see and hear each other, and chat just like a face to face conversation.
